Choosing a CRM for a small team
What actually matters when you're five people, not five hundred: an afternoon of setup, a shared inbox, plain email, and data you can always take with you.
The trap: shopping like a big company
Most CRM comparisons are written for sales organizations with seats by the hundred, pipeline stages, forecasting, territory rules. Choose that way as a five-person team and you end up paying enterprise prices for software nobody opens after week two. The spreadsheet quietly comes back, and now you have two systems of record, both wrong.
A small team should evaluate a CRM on one question: will everyone actually live in it? Everything below follows from that.
What actually matters
- Set up in an afternoon. Import a CSV of contacts, invite your team, forward your support address, done. If onboarding needs a consultant, the tool is sized wrong for you.
- Email lives inside it. For a small team, the relationship is the email. A CRM without a shared inbox depends on people remembering to log conversations. They won't. The data goes stale, trust goes with it, and the tool dies.
- Simple contact records. A person, a company, some tags, a timeline of what happened. Tags beat elaborate custom field systems because your five-person team doesn't have someone whose job is organizing the database.
- Follow-ups you can't miss. Tasks with due dates and reminders, tied to contacts. This is where deals are actually won at small scale: remembering to call back.
- Plain-text broadcasts. Enough to send the occasional update to a tagged segment, with unsubscribe handling done correctly. You don't need a template designer; you need the discipline of not over-mailing.
- Your data, exportable, always. One click to CSV, no export tax, no lock-in negotiation. If a vendor makes leaving hard, believe them about who they are.
What to ignore
- Automation and sequences. At your scale they mostly automate being ignored.
- Lead scoring, forecasting, territories. Machinery for managing salespeople you don't have.
- Custom objects and workflow builders. Flexibility that arrives as homework.
- AI everything. Summaries of conversations you could just read, drafts of emails you could just write.
