Sending broadcasts
Plain-text email to tagged segments, with merge tokens, scheduling, and automatic unsubscribe handling.
What broadcasts are for
Broadcasts are plain-text email to a segment of your contacts — maintenance notices, product updates, renewal reminders. Plain text on purpose: it's what infrastructure-style updates should look like, and it reaches the inbox.
Choosing the audience
Segment by tags (match any or all of your selected tags) and by contact status (leads, customers, or both). Contacts who opted out — or whose address bounced — are always excluded automatically. There is no override, by design.
Reaching people you've gone quiet on
Nobody wants a weekly newsletter — but you also don't want to realize a good contact hasn't heard from you in a year. The Last emailed audience option narrows any segment to contacts you haven't emailed in a month, three months, six months, a year — or ever. "Emailed" counts both broadcasts and replies from the shared inbox, so someone you wrote to last week is never re-mailed by an "out of touch" broadcast.
Contacts you've never emailed count from the day they were added, so a lead captured yesterday won't be swept into a re-engagement send. The dashboard shows how many subscribed contacts are drifting out of touch, and the contacts page has the same filter — nothing sends automatically, ever; you decide when to write.
Personalizing with merge tokens
Use tokens in the subject or body; fallbacks cover missing data:
Hi {{first_name|there}},
Maintenance window this weekend for {{company|your account}}.
Available tokens: {{first_name}}, {{last_name}}, {{name}}, {{email}}, {{company}}.
Test, send, or schedule
Send a test to yourself first — it renders with sample data and is clearly marked. Then send now, or schedule a date and time; scheduled broadcasts can be cancelled back to draft until they fire.
Deliverability, handled
- Every broadcast includes an unsubscribe link and one-click unsubscribe headers (a Gmail/Yahoo requirement for bulk mail).
- One click opts the contact out permanently — inbox replies to them still work; broadcasts never reach them again.
- Hard bounces and spam complaints automatically mark addresses undeliverable.
- Replies to a broadcast land in your shared Inbox as normal conversations.
